An Oxford Independent School is looking for a School Office Manager / Administration Support Manager who will be responsible for overseeing the daily administration of the school offices (staff and student services), including line managing the administrative staff to provide an effective and efficient service for staff and students.

Key Areas of Responsibility

  • To line manage, lead and supervise the day-to-day work of the administrative function of the school administration team across all the sections of the school.
  • To cover any of the day-to-day work of the administrative team if required e.g. sickness or so other team members may attend training.
  • To co-ordinate and set up Parents Evenings using the Parents Evening Online Booking system.
  • To maintain smooth operation of all school communication platforms.
  • To co-ordinate effective operation of School Information Management System (currently ISAMS) to include student records, such as food allergies.
  • To manage hospitality orders to the external caterers.
  • To manage and place the school Amazon Orders.
  • To ensure that purchase orders and goods received notes are processed promptly.
  • To ensure student attendance administration is completed accurately and in a timely fashion.
  • To oversee the Transport Inbox liaising with parents and external providers.

Staff Management

  • To liaise with staff and delegate tasks to the administration team ensuring deadlines are met.
  • To be responsible for management of and coordinating cover for all staff to ensure adequate office cover during the school holiday period.
  • To prioritise the allocation of work to the school administration team.
  • To ensure reception is a positive and welcoming environment and ensure that cover for switchboard and reception duties is maintained during the school holidays or as required.
  • Set and maintain the required level of excellent working practices and coach and challenge individuals that fall short of requirements.
  • To be responsible for the training and development of staff within your team
  • Management support
  • To undertake ad hoc projects as required to support senior leaders within the school.
  • To provide analysis and management reports for SLT at whole school or section level.
  • To manage administrative budgets to ensure maximum efficiency of resource.
  • To provide high quality reprographic support for staff via the administration team i.e. Exam papers, school productions and any other ad hoc requests.

You need to be able to maintain personal and professional development to meet the changing demands of the job, participate in appropriate training activities and encourage and support staff in their development and training and undertake such other duties, training and/or hours of work as may be required. Maintain confidentiality at all times and be aware of and adhere to all School policies and procedures. This is a full-time year-round position, Salary offered is c£30k depending on experience, Monday to Friday 8:00am to 4:30pm, plus a free lunch in term time. Holidays are 27 days plus bank holidays, there is a pension, cycle to school scheme, eye care vouchers, access to health and wellbeing.
