The core business works on an exciting range of HV projects renewable energy ICP and EPC projects, transmission & distribution commissioning projects and large-scale railway electrification projects. We offer engineering services across the full project life-cycle, from feasibility studies and design through to installation, commissioning and asset management.

About the job

The Project Administrator will play a vital role in ensuring the smooth and efficient management of project documentation, records, and administrative tasks. You will be responsible for organizing, maintaining, and controlling project-related documents, tracking project progress, and supporting the project team with administrative functions.

  • Record Keeping: Develop and maintain accurate and up-to-date project records, including documentation of meeting minutes, RFIs (Requests for Information), change orders, submittals, and other project-related communications. Ensure compliance with document retention policies and standards.
  • Project Progress Tracking: Collaborate with project managers and team members to track project progress, milestones, and deliverables. Monitor and update project schedules, maintain task lists, and provide regular reports on project status.
  • Communication and Collaboration: Facilitate effective communication and collaboration among project team members, subcontractors, and other stakeholders. Coordinate project-related meetings, distribute meeting agendas, and prepare meeting minutes. Ensure timely dissemination of project information and updates.
  • Quality Assurance: Implement quality control measures for project documentation, ensuring accuracy, completeness, and adherence to established standards. Conduct periodic audits to verify compliance with document control procedures and identify areas for improvement.
  • Administrative Support: Provide general administrative support to the project team, including but not limited to managing project-related correspondence, preparing and distributing reports, maintaining project-related databases, and assisting with procurement activities as required.
  • Compliance and Risk Management: Ensure compliance with applicable regulations, standards, and contractual requirements. Assist in the identification and mitigation of project-related risks by maintaining accurate records, facilitating document review processes, and supporting the implementation of corrective actions.
  • Continuous Improvement: Stay updated with industry best practices, technological advancements, and software tools related to project and document control. Identify opportunities to streamline processes, improve efficiency, and enhance the overall project management workflow.
