Our well established client is looking for an experienced Secretary to join their ambitious Cambridge office.

Job Description

Purpose of role:

To provide full service support to Private Client Tax and Corporate Finance Partner and Director group.

Key responsibilities:

PA Duties

  • Provide full administrative support in any capacity to the Partners and Directors. This includes (list is not exhaustive): diary management, arranging meetings, travel bookings, monitoring email, conference registration, time recording and other support as required.

Client Interface

  • Providing the client with polite, friendly and professional contact through all forms of communication
  • Answering calls and emails quickly and politely
  • Taking accurate messages when necessary
  • Dealing with general enquiries when able
  • Monitoring voicemail and email
  • Willing to get to know clients and develop relationships
  • Ad hoc front desk cover

IT capability

  • Proficiency in Office packages; Outlook, Word, Excel and PowerPoint to use effectively and professionally within the clients format
  • Willing to learn and use the firms systems e.g. Time Recording, billing, expenses, travel booking, specific tax related systems (bank confirmations, land registry searches etc), client database, proposal documents etc.

Meetings and lunches/dinners

  • Arranging client and internal meetings
  • Preparing and collating all relevant documents
  • Taking the minutes if required
  • Arranging client lunches/dinners

Client administration

  • Assisting with client take on processes (onboarding, AML, engagement letters)
  • Setting up and maintaining records on the client database
  • Use of databases to compile target lists
  • Extracting information for reports and assistance with pitch documents
  • Maintaining and updating Partners/Managers contacts on marketing database

Ad hoc Projects

  • One off projects -for example, designing and collating slides and arrangements for quarterly department meetings, arrangements for department social events and implementation of new ideas as to how the central administration team can better support the Professional Services team and other projects as required.

Key Competencies:

  • Judgement: knowing how to deal with problems which arise, knowing when to involve the Head of department in issues, ability to think ahead and anticipate events occurring
  • Planning and organising: will need to be able to organise his/her time so as to meet deadlines. Planning and organising work efficiently and ensuring it has been completed satisfactorily
  • Communication: confidence so as to be able to produce documents accurately and quickly and the ability to draft own correspondence. Ability to deal effectively and politely with people at all levels, both internally and externally
  • Teamwork: to work well with other secretaries in the department, flexibility and willingness to help out others is essential

Qualifications

Education/Qualifications:

  • Educated to GCSE level or equivalent

Key Experience/Skills:

  • Significant experience of working at a senior level
  • Detailed knowledge of Outlook, Word, Excel and PowerPoint
  • Excellent communication skills
