Job Title: Bid Manager

The Bid Manager role offers a unique opportunity to play a pivotal role in developing and submitting winning bids to both existing and prospective clients. This involves ensuring that all client inquiries are addressed, reflecting the agreed bid strategy, proposed operational solutions, and customer requirements. As a key team member, you will lead day-to-day aspects of the submission, working collaboratively under pressure and meeting challenging deadlines.

Responsibilities and Duties:

Bid Process Management:

Assemble and project manage the internal bid team to prepare winning, executable,and profitable bids, involving contributions from Business Development, operational, estimating, and commercial colleagues.

Create and implement a project plan to deliver bid requirements on time, monitoring and reporting bid progress against the plan.

Ensure the timely delivery of compliant bids.

Bid Submission Content:

Develop bid win themes and support creating service delivery solutions with operational teams.

Develop the written proposal, enhancing both content and presentation.

Ensure all client questions are answered, reviewed, and signed off.

Governance:

Manage compliance with internal governance processes, obtaining relevant approvals at each stage of procurement, and maintaining records of meetings.

Manage all submission internal reviews and post-bid reviews with clients.

Ensure a smooth handover of successful bids to mobilisation and operational teams.

Client Liaison:

Liaise with the client during bid stages as required.

Respond to client clarification questions promptly and submit questions as needed.

Share information from the client with the bid team to inform proposals and approach.

Bid Production and Tools:

Manage the proposal review process before submission to ensure a complete and high quality submission.

Ensure proposal documents are printed/uploaded within timescales.

Manage collaborative workspaces for proposals. Ensure continuous refreshment of the Bid Library with the latest bid and company information, proposal content, and examples of best practice.

Qualifications or Required Experience:

Essential:

Experience in the Grounds Maintenance industry.

Proven capability in managing public sector bids and tenders.

Self-motivated and able to work to strict time deadlines.

Strong team player, able to build rapport with colleagues quickly.

Attention to detail, maintaining high standards and accuracy.

Confident and articulate in all communications (face-to-face, telephone, and written).

Highly competent in MS Office software.

Desirable:

Degree qualified.

APMP/PRINCE II qualifications.

Pay Grade:

Salary: £35,000 - £45,000 per annum

Working Conditions:

Hours: 37.5 hours per week, Monday to Friday

Holidays: 25 days plus statutory public holidays, with an additional non-contractual day off for your birthday

Pension: Enrolment in our client's A/E scheme with a 3% employer contribution

Life Insurance: Basic salary x2

Sick Pay: 4 weeks full company sick pay

Probation Period: 3 months

Notice Period: 1 week during probation, 2 months thereafter

Sales Commission: You will be entitled to join the sales commission scheme; details will be provided separately. This is non-contractual nor guaranteed.
